Fiduciary Administrator

Job Description

Job Description Provide administrative and operational support to Estate Administrators to ensure efficient handling of deceased estates and fiduciary matters, while maintaining compliance and excellent client service. Document ManagementPrepare, scan, and file estate-related documentation (e.g., death certificates, letters of executorship, tax forms).Maintain accurate records in estate management systems.Compliance SupportAssist with FICA/KYC verification and ensure all supporting documents are complete.Track compliance deadlines and escalate where necessary. Client & Stakeholder LiaisonHandle routine client queries and provide status updates under guidance of Estate Administrators.Coordinate with banks, Master of the High Court, SARS, and other institutions for document submissions.System & Data ManagementUpdate estate progress on internal systems as well as the Estates Administrators. To ensure that all correspondence are in all relevant folders of the different estates.Ensure confidentiality and accuracy of all client data.Financial AdministrationCapture payments, invoices (procurement system), and receipts in line with estate processes.Prepare basic reconciliations for estates Control and System bank accounts. Skills & CompetenciesStrong administrative and organizational skills.Attention to detail and ability to work under pressure.Good communication and client service orientation.Familiarity with fiduciary processes (advantageous but not essential).Strong computer literacy and proficiency in relevant software applications.Ability to produce clear, accurate, and grammatically correct written communication in emails and documentation.Acts with professionalism and fosters teamwork, ensuring alignment and cooperation within the group.Shows resilience and a collaborative mindset by embracing change and offering help where needed.Displays a proactive attitude toward personal development and demonstrates a commitment to continuous learning and upskilling 

Responsibilities + Skills

Education
